Three things to set up. Then it runs.

There is no import, no migration and no onboarding call. The diary is empty until you describe what you do, and it starts working the moment you do.

    Clients open it, pick a person or a service — you decide which comes first — and take a free time. No account, no app, no phone call.

02 What is in it

Everything a diary needs, nothing it doesn't

Six things run the whole product. Each card names the tables and columns behind it, because a feature you can check is worth more than one you can only read about.

    How long it takes, the gap that follows it, and a price that can be overridden for one member of staff.

  • Schedules

    A weekly pattern that repeats, plus the individual days that break it — a late start, a closed Tuesday, a one-off shift.

    Every visit lands against a client record as it happens. Nobody types up a history at the end of the week.

    Four roles with defaults that already make sense, and a per-person override on top when one of them doesn't.

One link fills the diary

Your booking page is a single address you can put anywhere — a bio, a card, a sticker on the door. A client opens it, picks a person or a service, takes a free time, and is booked.

04 The diary

Two people can't take one slot

A free time is computed, not stored: the shift window, minus what is already booked, minus the gap each service needs after it, minus everything in the past. The row is then locked while the booking is written, so the second of two taps in the same second is offered the next free time instead of a clash.

  • Moving a booking keeps the old one and links the two together
  • A move that fails leaves the original exactly as it was
  • Late self-service cancellations can be cut off — staff never are
  • A booking outlives a member of staff who leaves

05 The messages

Nobody forgets

Confirmations, cancellations, moves and two reminders are sent by a Telegram bot that carries your organization's name, so the client hears from you rather than from a platform they have never met.

  • Your bot, your name, your language
  • The same event never sends twice, however often it is retried
  • A client who cannot be reached is flagged and your staff are told — the message is never quietly dropped
  • Reschedule and cancel come back through a private link in the message

06 The lifecycle

Five states, and the moves between them are fixed

A booking is always in exactly one of these. The names are the values the database stores, so they are the same in every language and are never translated — a translated state would name something the API does not have.

    Where a booking starts the moment a client takes a time. Nothing has been agreed yet, and the slot is already held.

    Somebody on your side has agreed to it, or the client confirmed from the link in their message.

    It happened. Reachable from either of the two live states, because plenty of appointments are only marked up after the fact.

    The client did not come. Kept as its own outcome rather than folded into a cancellation, because they are not the same thing to count.

    Called off, by either side. The only state reachable from both live ones, and the slot goes back on the page.

  • And one move that isn't a state change

    Rescheduling does not move a booking. It cancels the one you had and creates a new one that points back at it, so the old time and the new time both stay on the record.

Four roles ship with defaults that already fit how a front desk works. Anything they get wrong is fixed per person, not by inventing a fifth role.

Every plan carries the whole of the booking product: a public page at your own address, booking without an account, the slot engine with its buffers and cancellation cutoff, cancelling and rescheduling from a private link, services with prices, weekly schedules and day exceptions, client records, the dashboard, and the five booking states. A tier adds people to the diary and settings you may change yourself. It never takes a booking feature away.

09 Questions

Asked first, every time

The limits are here rather than buried. If the answer is no, it says no.

  • Do my clients need an account?

    No. They open the link, pick a time, and they're booked. Nothing is installed and nothing is signed up for.

  • Can they move or cancel it themselves?

    Yes, from a private link in their confirmation. You decide how close to the appointment that stops being allowed; your own staff are never blocked by that cutoff. A client who has lost the message can open app.termindesk.com/booking and find the booking again by the code they were sent.

  • Does it take payments?

    No. A service can carry a price and the booking records it, but nothing is charged and no card is stored anywhere. You take money exactly the way you take it today.

  • Does it send SMS or email?

    No — Telegram only, and that is the honest answer rather than the ambitious one. A client who has not linked Telegram is not reached, and instead of the message quietly disappearing, the delivery is marked undeliverable and your staff are told so somebody can pick up the phone.

  • Does it sync with Google Calendar?

    No. The diary inside Termindesk is the diary. There is no two-way sync to get out of step with.

  • Is there an app to install?

    None. You get a web dashboard, your clients get a page, and the messages arrive in Telegram.

  • I rent a room, not an hour of someone's time.

    Switch the organization to range mode: clients pick a start and an end instead of a fixed slot, with a minimum length and a step you set.

  • What happens when a member of staff leaves?

    Their bookings stay. A removed person is kept behind the scenes so the appointments they performed still read correctly — the duration, the buffer and the names all still resolve.

  • What exactly am I paying for?

    The number of people who take bookings — one diary each. An admin or receptionist who never appears in the diary does not count towards it, and your clients never do. Nothing else is metered: no tier caps bookings, services or client records.

  • What happens if I move down a tier?

    Nothing your clients can see. A tier controls who may change a setting, not whether it works — a booking page already published in two languages stays in two languages, and a room already rented by the hour keeps renting by the hour. You just cannot change those settings yourself until you move back up.

  • Can I run several places under one account?

    An organization is one place: one booking page, one diary, one set of staff, and a person belongs to exactly one of them. Running two means running two organizations.
