Two different roles

Termindesk is software a business runs its appointment diary on. That splits responsibility in two, and which half applies to you depends on why you are reading this.

If you are a client who booked an appointment, the business you booked with decides what is recorded about you and why. It is their record. This page describes what the software makes possible; a question about your own data is one for that business.

If you are the business, the operator of this service holds that data on your behalf and acts on your instructions.

What the platform stores

About a client of a business: a name, a phone number, an email address, and free-text notes — each of them optional, because a walk-in may have none of them. Alongside that sit their appointments: what was booked, with whom, when, what it cost, and which of the five states it ended in.

About a person who works for a business: name, email address, a hashed password, an optional phone number, the interface language they pinned, the working hours they keep, the languages they speak, and the time they last signed in.

About the business itself: name, address, contact details, time zone, working hours, and its settings.

For notifications: the notification service keeps its own copy of what it needs to send a message — the appointment reference, the Telegram chat it is addressed to, and the client’s phone number, which is stored encrypted and looked up through a separate keyed hash rather than in the clear.

What is not stored

No card or bank details: nothing in the product takes payment, so there is nothing to store. No advertising or profiling data. No message history — the notification service holds the messages it sends about an appointment, not a conversation.

This website

This site is static. It sets no cookies, runs no analytics, embeds nothing from anywhere else, and makes no request to a third-party host. Nothing you do on this page is recorded by it. Reading it leaves the ordinary traces any web server records — an IP address and a request line in a log kept by the host.

Deletion

A client’s record can be deleted by the business holding it. Appointments and staff records are removed with a deletion marker that keeps them out of the diary while the business’s own accounting obligations run; ask the business for its retention period.

To have data removed and you are not sure who to ask, write to the address in the footer of this site and say which business the booking was with.
